Skytizens e-Tax with e-Receipt is a tax reporting service utilizing simplified modern electronic document management solutions. The procedure is for custom PDF e-Tax development to be built when the client submits tax data from their ERP (SAP) system with given permissions. The e-Tax PDF is automatically stored in the Alfresco document management ECM system and authenticated with a digital signature before being converted and saved separately as a new XML file. The XML file is sent to the Revenue Department upon approval and the e-Receipt is sent to the client as a PDF document. This four-step process can be seen listed;

e-Tax and e-Receipt Solution Process Explained

The e-Tax solution begins with a custom Template Design with automatic data inputs of verified client content. The Digital Signature is used for security and authentication of the PDF file saved and stored in the Alfresco server repository. The file is converted to XML and sent to the Revenue Department and also sent as a PDF e-Receipt to the client. The process finalizes with Service Channel support for complete confidence in the entire process.

e-Tax Template Creation and Distribution

Upon receiving e-Tax invoice data from client a template is created and stored in Alfresco DMS in accordance with regulatory and client needs. The template is designed to automatically populate required tax fields as well as any metadata that would make for ease of record borrow requests. Multiple templates can be designed to best fit the business.

Validation and Approval

The e-Tax forms and associated information content from the client is validated upon transfer. For further assurance, and as an option for every individual business, the PDF invoices can be approved electronically with e-Signature. The e-Signature can be used for either individual or batch documents. If choosing to approve with e-Signature in batches, the batch log is validated by digital signature, and then as an option, can be approved by client with e-Signature.

Data Retention with Alfresco Document Management System

Skytizens will manage and store client e-Tax and associated documents such as e-Receipts within the Alfresco Enterprise Content Management (ECM) platform for a period defined by the Revenue Department or longer as requested. The documents will be available on the Alfresco secure server for review and correction until the retention period expires at which point the document will follow ISO disposition guidelines for elimination.

The e-Receipt will include a digital timestamp showing when the e-Tax XML was provided to the Revenue Department. The XML data sent to the Revenue Department is verified to show that extracted file segments are in compliance with all ETPA regulations and ISO standards.
